Buying medical equipment from Dubai: a cross-border order checklist
Equipment can be ready while its paperwork is not. Before agreeing a dispatch date, settle the destination, importer and documents the shipment needs.
Name the destination and importer
Give the supplier the destination country, city, postcode and proposed receiving address. Identify the organisation that will act as importer and the person coordinating customs clearance. If a distributor, freight forwarder or another party will receive the shipment, explain that arrangement in the first enquiry.
Ask your customs broker or regulatory adviser to check the requirements for the exact products and route. A supplier's address in Dubai does not, by itself, establish the country of manufacture, stock location or shipping origin. Request those details where they affect your purchasing or import requirements.
Confirm product documents before shipment
Send the catalogue references and required configurations to the person checking import requirements. Request the applicable product identifiers, instructions, labelling details and regulatory evidence early enough to resolve questions before dispatch. Confirm that documents refer to the offered model and legal manufacturer.
For imports into the UAE, the Emirates Drug Establishment provides a permit service covering medical equipment and other medical products. The applicable process must be checked for the transaction concerned. Other destination countries have their own requirements. A quotation or catalogue entry does not replace an import authorisation.
Agree the commercial document pack
Dubai Customs lists an invoice, packing list, certificate of origin and permits from relevant restriction authorities among the documents for its customs declaration service. Ask the responsible broker to confirm what applies to your shipment and customs regime.
Check that the buyer, consignee, product descriptions, quantities and values will be consistent across the agreed documents. Identify any required language, attestation or original-copy format before the documents are issued. If your organisation uses a purchase-order reference, provide it with the order instructions so it can appear where agreed.
Define what the freight quotation covers
Specify whether you want equipment pricing only or a delivered quotation to a named location. Ask for the agreed delivery term and its named place to be written in full. Establish which party books transport, obtains insurance and handles export and import clearance. Have the appropriate advisers confirm duties and taxes; do not assume that they are included in a product or freight price.
Request the packed carton count, dimensions and gross weight once the configuration and quantity are settled. Tell the supplier about any receiving restrictions, appointment requirements or delivery equipment needed at the destination. Where a battery or other transport-sensitive component is included, ask the forwarder to confirm the relevant shipping documentation and handling requirements.
Check dates, acceptance and changes
Distinguish the date the goods are expected to be ready from the estimated transport time and final delivery date. Ask which milestones remain subject to documentation, production or freight confirmation. If a deadline is essential, state it before accepting the quotation and obtain written confirmation of what can be committed.
Agree how discrepancies or transit damage should be documented and reported. Keep the approved specification, quotation, purchase order and document list together. Any change to model, accessories, branding, packing or destination should be confirmed before release, with its effect on price and timing recorded.
For an Autograph enquiry, send the references, quantities, required configuration and destination to info@autograph.biz. Include your import-document requirements and requested delivery scope so the quotation can address them.
